Employee management

Administrators and managers can add, edit, and manage employees.

Overview

You can:

  • Add employees
  • Edit details
  • Assign roles — Administrator, Manager, Employee
  • Assign departments
  • Deactivate or delete users

Note: Only administrators and managers see this page.

Employee list

Shows:

  • Name
  • Email
  • Role
  • Department
  • Status — Active or inactive

Filtering

  • Administrators see all departments
  • Managers see only their department

Add an employee

  1. Add employee — Top right
  2. Enter: name, email (unique), role, department
  3. Create

What happens

  • An email is sent with a password setup link
  • The user appears in the list immediately
  • They can sign in after setting a password

Roles

Administrator: Full access; all departments; can create other admins.

Manager: Manages shifts and employees in their department only.

Employee: Views own shifts; no admin access.

Edit an employee

  1. Click the employee
  2. menu → Edit
  3. Change name, email, role, department, or status
  4. Save

Password reset (admin)

  1. Select employee → Reset password
  2. An email with a reset link is sent

Deactivate

  1. Open edit dialog
  2. Deactivate — Status becomes inactive

Inactive users stay in the list but no longer appear for new shift assignments. Activate again from the same dialog.

Delete (permanent)

  1. Delete → confirm

Effects:

  • User is removed from the list
  • Existing shifts remain but show the user as deleted

Note: Only administrators can delete. Managers can only manage users in their department.

Department changes

Edit the employee and pick a new department. Existing shifts are kept; the user sees only the new department going forward.

Restrictions

  • Managers can only assign their own department
  • Everyone must belong to exactly one department

FAQ

Can one person belong to multiple departments?

No — one department per user. Create separate users if someone works in multiple departments.

What happens to shifts if I delete a user?

Shifts remain; the assignee is shown as deleted.

How many administrators can we have?

There is no fixed limit.
